What are Maintenance Reminders?
Never miss out on vital preventative maintenance such as oil changes or tire rotations by using active reminders.
You can keep track of all of your maintenance schedules by receiving reminder alerts when it is time for your next service.
How do I set up maintenance reminders?
You can keep track of maintenance schedules for each of your trackers or other items and receive reminder alerts when it is time for your next service.
To set up maintenance reminders:
- Click 'Maintenance' in the top toolbar.
- Click 'Add New Reminder' button at the top right.
- If the vehicle or asset has a tracker associated with it, be sure that 'Tracker' is selected under the 'Type' heading.
- Select the question below for instructions on how to set up service reminders for items without trackers.
- Choose the tracker group and tracker for which you want to set a reminder from the dropdown menu.
- Choose a service type.
- You may also select 'Add/Edit Service Type' to create a custom service type. Type the description in the text box, and click 'ADD' and ‘CLOSE.’ The custom type created will now be selectable in the dropdown.
- Choose the type of reminder: time based, mileage based, engine hours based, or usage hours based. Complete the required information for the chosen type.
- Enter email addresses or cellular phone numbers to receive the maintenance reminder alert, adding a new line for each address or number.
- Click 'SAVE.'
To edit an existing reminder:
- Click the edit (pencil) icon under Edit, change any information, then click ‘SAVE.’
To remove an existing reminder:
- Click the delete (trash can) icon under Delete. Then click 'DELETE' to confirm.
To copy existing reminders from one vehicle to another:
- Click 'Maintenance' in the main navigation.
- Click the ‘Copy Reminders’ button.
- Choose the tracker to copy reminders from, and the tracker to which reminders should be copied.
- Select the reminders to copy. Click ‘SAVE.’
- Click the maintenance reminder's edit (pencil) icon under Edit, then edit the 'Next Due' information to bring your reminder up-to-date. Click ‘SAVE.’
How can I set up a maintenance reminder for an item that doesn't have a tracker?
You can keep track of maintenance schedules for all of your items, even if they are not attached to a MOTOsafety tracker! You will receive reminder alerts when it is time for your next service.
To set up maintenance reminders for an item not attached to a tracker:
- Click 'Maintenance' in the top toolbar.
- Click 'Add New Reminder' button at the top right.
- Select 'Other Items' under the 'Type' heading.
- If you prefer, you may select the item's group from the dropdown, or click the 'plus' (+) button to create a new group.
- Select the Item for which you would like to set a schedule, or click the 'plus' (+) button to create a new item.
- Choose a service type.
- You may also select 'Add/Edit Service Type' to create a custom service type. Type the description in the text box, and click 'ADD' and ‘CLOSE.’ The custom type created will now be selectable in the dropdown.
- Complete the required information for when you wish to be notified that service is due.

- Click ‘SAVE.’
How do I edit or delete a maintenance reminder?
You can edit or delete any of the maintenance schedules you have set up.
To edit a maintenance reminders:
- Click 'Maintenance' in the top toolbar.
- Click the maintenance reminder's edit (pencil) icon under Edit.
- Edit any information to bring your reminder up-to-date.
- Click ‘SAVE.’
To remove the maintenance reminder:
- Click 'Maintenance' in the main navigation.
- Click the maintenance reminder's delete (trash can) icon under Delete.

How do I copy existing reminders from one tracker to another?
To copy existing reminders from one tracker to another:
- Click 'Maintenance' in the top toolbar.
- Click the ‘Copy Reminders’ button.
- Choose the tracker to copy reminders from, and the tracker to which reminders should be copied.
- Select the reminders to copy. Click ‘SAVE.’
To update the 'Next Service Due' information:
- Click the maintenance reminder's edit (pencil) icon under Edit.
- Edit the 'Next Due' information to bring your reminder up-to-date.
- Click ‘SAVE.’
How can I add other items, that don't have a tracker, into the system to track maintenance?
You can add other items into your MOTOsafety account to be able to track one-time and scheduled maintenance, even if they are not attached to a MOTOsafety tracker!
To add ‘other item,’ not attached to a tracker:
- Click 'Maintenance' in the top toolbar.
- Click the 'MANAGE ITEMS' button next to the Filter text box in the Active Maintenance Reminders heading.
- In this pop-up you can manage all your items and groups.
- To create a new group for your other items click 'CREATE GROUP' at the bottom of the pop-up. Name the group and click ‘SAVE.’
- To create an item, to be able to track its maintenance, click 'CREATE ITEM' at the bottom of the pop-up. Name the item and click ‘SAVE.’
- Once you have added or edited all the items you wish, click ‘CLOSE.’
How do I add unscheduled maintenance I have performed on my vehicles/assets/objects to their history?
To document a one-time service event:
- Click 'Maintenance' in the top toolbar.
- Click the 'CREATE ONE-TIME SERVICE EVENT' button in the top section of the maintenance screen.
- If the vehicle or asset has a tracker associated with it, be sure that 'Tracker' is selected under the 'Type' heading. If the item does not have a tracker, select ‘Other Item.’
- Open the question above for instructions on how to set up other items.
- Select the tracker or item for which you are documenting a service event.
- Select the service type in the dropdown. (You may also select 'Add/Edit Service Type' to create a custom service type. Type the description in the text box, and click 'ADD' and ‘CLOSE.’ The custom type created will now be selectable in the dropdown.)
- Enter any other relevant information to the service in the pop-up.
- Click ‘SAVE.’
The record of the service completed can now be found in the 'Maintenance History' section (found in the left navigation).
How do I manage maintenance for my vehicle?
After setting up reminders, you can see all active reminders for upcoming maintenance needs as well as a history of completed maintenance service.
To see your active maintenance reminders:
- Click ‘Maintenance’ at the top of the window.
- You will see a list of all active maintenance reminders including:
- Vehicle name.
- Type of service.
- How often the service needs to take place (service interval).
- Mileage or time when the next service is due. This will appear in red when the service is overdue.
- When the service is complete, click the ‘Complete Service’ button.
- Enter the current odometer reading (this will help the system correctly calculate the next service due date).
- Enter cost and other notes if you wish for your own records.
To see the maintenance history for your vehicles:
- Click ‘Maintenance History’ on the left side.
- Use the dropdown options to select a date range for data, or to select a specific vehicle. Click ‘Show Activity.’
- You will see all pertinent data for your vehicle’s maintenance history, including:
- Vehicle name.
- Type of service.
- Odometer reading at the time of service.
- Date completed.
- Cost and notes if they were added.
- To edit an existing service, click the edit (pencil) icon under Edit/Delete.
- To remove an existing service, click the delete (trash can) icon under Edit/Delete.
- You can also add service events that were not tracked by the system to keep your maintenance records complete.
- Click ‘Create One-Time Service Event.’
- Choose the vehicle and service type.
- Enter the date, odometer reading, cost, and other notes as desired.
- Click ‘Save.’
- You can download the Maintenance History in an Excel spreadsheet by clicking the ‘Excel’ icon next to the Show Activity button.
