Maintenance History FAQ
What is Maintenance History?
Maintenance History enables you to efficiently track, document and manage all maintenance activities conducted on your equipment, assets or other items.
By keeping a detailed maintenance record with attachments, notes, pictures and invoices you can effectively budget your maintenance costs and have better insights into the operational life of your equipment, anticipate insurance costs, tangible ROI of certain year/make/models in you own or rent along with a record of appropriate service in the event a vehicle is sold.
How can I keep track of the maintenance performed?
MOTOsafety makes it easy to keep track of all your vehicle's, asset's and other item's maintenance.
To document maintenance performed as part of a maintenance reminder:
- Click 'Maintenance' in the top toolbar.
- Filter to find the service performed in the list of recurring Active Maintenance Reminders.
- Click the 'COMPLETE' button.
- Enter any additional information, notes, attachments, pictures and invoices in the pop-up window.
- Click ‘SAVE.’
The record of the service completed can now be found in the 'Maintenance History' section (found in the left navigation) along with any attachments that were saved upon completion. Then, your recurring Active Maintenance Reminder will already automatically be reset based on the information entered and saved.
To document an already completed one-time service event:
- Click 'Maintenance' in the top toolbar.
- Click the 'CREATE ONE-TIME SERVICE EVENT' button in the top right section of the maintenance screen.
- If the vehicle or asset has a tracker associated with it, be sure that 'Tracker' is selected under the 'Type' heading. If the item does not have a tracker, select ‘Other Item.’
- Select the tracker or item for which you are documenting a service event.
- Select the service type in the dropdown.
- You may also select 'Add/Edit Service Type' to create a custom service type. Type the description in the text box, and click 'ADD' and ‘CLOSE.’ The custom type created will now be selectable in the dropdown.
- Enter any other relevant information, notes, attachments, pictures, invoices and more into the fields of the pop-up.
- Click ‘SAVE.’
The record of the service completed can now be found in the 'Maintenance History' section (found in the left navigation) along with any attachments that were saved upon completion.
Where can I see the history of the maintenance performed?
- Click 'Maintenance' in the main navigation.
- Click 'Maintenance History' on the left side of the maintenance screen.
- Here, you will see all the documented maintenance events in the date range, tracker group (if applicable) and service type selected in the filters below the section menu.

If needed, you may filter further by typing the name of any tracker or item in the 'Filter' text box on the top of the screen.

There are several ways to pull this information out of the MOTOsafety portal for your use:

- Export (.xls) the information shown in the filtered list by clicking the 'EXPORT' button in the maintenance history top navigation.
- Print the information shown in the filtered list by clicking the 'PRINT' button.
- Schedule a report to be sent via email by clicking the 'SCHEDULE' button. In the pop-up you are able to choose the trackers, items, drivers, or groups to be included, the units and time zone that appear should be edited for accuracy and how often you would like to receive the automated email. Don't forget to enter the email address and click ‘SAVE.’ **Note if you have several emails, click the ‘plus symbol’ button to add additional emails that should receive the scheduled report to automatically be sent out.
How do I add unscheduled maintenance items, notes, attachments, pictures or invoices I've already performed on my vehicles, assets or other objects to their maintenance history?
To document a one-time service maintenance event:
- Click 'Maintenance' in the main navigation.
- Click the 'CREATE ONE-TIME SERVICE EVENT' button in the top section of the maintenance screen.
- If the vehicle or asset has a tracker associated with it, be sure that 'Tracker' is selected under the 'Type' heading. If the item does not have a tracker, select ‘Other Item.’
- Select the tracker or item for which you are documenting a service event.
- Select the service type in the dropdown.
- You may also select 'Add/Edit Service Type' to create a custom service type. Type the description in the text box, and click 'ADD' and ‘CLOSE.’ The custom type created will now be selectable in the dropdown.
- Enter any other relevant information, notes, attachments, pictures, invoices etc to the maintenance service in the pop-up.
- Click ‘SAVE.’

The record of the service completed can now be found in the Maintenance History section, which can be found in the left navigation menu. This will already contain any attachments, pictures, notes and invoices saved upon item completion.
Can I set the system to automatically email maintenance history reports on a regular basis?
Yes!
To have the system email you updates to your maintenance history:
- Click 'Maintenance' in the main navigation.
- Click 'Maintenance History' on the left side of the maintenance screen.
- Clicking the 'SCHEDULE' button.
- In the pop-up you are able to choose the trackers, items, drivers or groups to be included, the tracker(s) and time zone that are shown should be edited for accuracy and how often you would like to receive the email. Enter the recipient's email address(es). Note** If more emails need to be entered, use the ‘plus symbol’ button to add additional people here that will need to receive this automated email report.
- click 'SAVE.'
To edit any maintenance history Email settings visit Setup > Scheduled Reports.
